Info on KLI Small Meetings Grant

Purpose

The grant intends to cover (part of the) costs of events bringing together researchers (and if applicable practitioners) to discuss a specific topic in depth (10-25 participants).

Who can apply

The Organising Committee of this meeting should comprise at least one KLI Senior Member and one KLI PhD Member, who can submit an application together.

Budget

  • The grant covers costs up to a maximum of 3,000 euros in total (VAT included, if applicable).
  • To reduce costs, applicants are encouraged to use their own university’s meeting rooms (as in-kind contribution to the meeting) or use KLI meeting rooms in Utrecht (c. 200 per half day; the KLI can help you to arrange these).
  • The grant can cover (part of the) costs associated with the small group meeting (e.g., travels and accommodation of invited guest speakers, catering, coffee and tea breaks).
  • Please note that grant payments will only happen afterwards on the basis of actual costs, supported by formal invoices and/or reimbursement claims

How to apply

  • Applicants need to fill out the requested fields of the application form
  • Applicants should also upload a Word-document via the application form covering the following issues:
    • composition of the organising committee
    • distribution of the administrative workload across members of the organising committee
    • relevance of the topic
    • explanation how the meeting fits with the PhD candidate’s trajectory
    • estimated budget, including summary of co-funding options (if applicable) and status

Deadlines

  • Applications can be submitted at any moment, but will only be reviewed on a semi-annual basis.
  • Hence, deadlines for each round are on 30 April and 30 September of each year

Review procedure

  • All applications will be reviewed by KLI’s Research Committee
  • All decisions will be communicated to the applicants by e-mail ultimately 15 May and 15 October for each respective application round
  • The decision on the application will not be open to discussion or appeal
  • In case multiple applications will be eligible for funding, the KLI may choose to
    • make a selection of the proposals ranked highest in quality by the Research Committee, or
    • decide to assign funding to multiple proposals for a lower amount than requested
